We invite all members to join us for our 2025 Annual General Meeting (AGM)!This is your chance to have a voice in the future of our organization and help shape the upcoming season.

President & Secretary – 2-year terms
All other positions – 1-year terms

Descriptions of Positions:

President

  • Provide overall leadership and direction to the association
  • Chair all board meetings and set meeting agendas in collaboration with the Secretary
  • Act as the official spokesperson for the association
  • Ensure all association activities follow governing body rules, policies, and by-laws
  • Oversee long-term planning and strategic direction
  • Resolve disputes and act as liaison with regional and provincial lacrosse organizations
  • Must be familiar with the association’s by-laws and attend all board meetings

 

Vice-President

  • Assist the President in all duties and assume their responsibilities when absent
  • Lead special projects and committees as assigned by the board
  • Support enforcement of association policies and code of conduct
  • Act as liaison between the President and board subcommittees
  • Provide oversight to designated operational areas (e.g., Rep Program, House League)
  • Must be familiar with the association’s by-laws and attend all board meetings

 

Secretary

  • Record and distribute minutes of all board meetings
  • Maintain and organize official association records (by-laws, policies, contracts)
  • Manage correspondence and communication between the board and members
  • Assist with preparing agendas in collaboration with the President
  • Maintain a record of board motions and decisions
  • Must be familiar with the association’s by-laws and attend all board meetings

 

Treasurer

  • Oversee the association’s financial operations and budget management
  • Maintain accurate financial records and provide monthly reports to the board
  • Manage bank accounts, payments, and deposits
  • Coordinate with fundraising committees to track and record revenue
  • Prepare and present annual financial statements to members
  • Ensure compliance with financial regulations and reporting requirements
  • Must be familiar with the association’s by-laws and attend all board meetings

 

Rep Program Director

  • Oversee and manage all representative (travel) teams—ages, tryouts, rosters
  • Coordinate coaching staff selection and training
  • Act as liaison between rep teams and association board
  • Budget for rep program expenses and ensure cost-effective operations
  • Monitor competitive play standards and enforce league/regional regulations

 

Equipment Manager

  • Inventory, maintain, and store all team and association equipment (pads, sticks, jerseys)
  • Ensure regular cleaning, sanitization, repairs, and replacements as needed
  • Coordinate equipment distribution and collection for both rep and house leagues
  • Manage supplier relationships and track equipment budget
  • Ensure compliance with safety guidelines and proper fit for players

 

Coach and Player Development Director

  • Design and implement training curriculums and skill-development programs
  • Organize coaching clinics, mentorship, and certification initiatives
  • Foster year-round athlete development through camps, workshops, and resources
  • Monitor progress of coaches and players; recommend enhancements and improvements
  • Stay current with coaching trends and methodologies for lacrosse → share best practices

 

Director of Fundraising

  • Plan and execute fundraising campaigns (sponsorships, crowdfunding, events)
  • Identify and cultivate donor/sponsor relationships, including community businesses
  • Manage fundraising budget and goals; track revenues and reporting
  • Coordinate fundraising logistics—prizes, communication, volunteers
  • Work across roles (e.g., Registrar, House League Director) to maximize fundraising impact

 

Development Stream Director

  • Oversee Development Stream operations—registration, scheduling, field usage
  • Recruit, assign, and support volunteer coaches and team managers
  • Helps design and implement training curriculums and skill-development programs
  • Ensure rules adherence, safety protocols, and fair play
  • Provide inclusive and fun lacrosse experiences for all ages and skill levels
  • Manage equipment needs and coordinate with Equipment Manager

 

Registrar

  • Handle all participant registration processes—data entry, payments, waivers
  • Maintain accurate and secure databases of players, coaches, and volunteers
  • Facilitate communication of registration information to board members, teams
  • Ensure compliance with privacy laws (e.g., safe storage of personal info)
  • Generate registration reports—enrollment stats, waitlists, and trends

 

Privacy Officer

  • Ensure compliance with privacy legislation (e.g. PIPEDA in Canada)
  • Develop and maintain privacy policies, consent forms, and data-handling procedures
  • Educate board members, staff, and volunteers about privacy best practices
  • Handle inquiries and concerns related to personal data usage
  • Respond to data incidents and coordinate mitigation efforts

 

Scheduler

  • Coordinate and manage game and practice schedules across rep and development streams
  • Liaise with facility partners (city, arenas, community centers) for booking floor time
  • Ensure adequate distribution of floor time and avoid conflicts
  • Communicate finalized schedules in advance to teams, coaches, parents
  • Adapt and update schedules as needed through the season with minimal disruption

 

Social Media Coordinator

  • Regular posting and upkeep across Facebook, Instagram, and other association channels; keep information current and accurate.
  • Maintain a seasonal content calendar (registration, tryouts, schedules, game recaps, clinics, sponsors, volunteers)
  • Capture, curate, and publish photos/video; collect assets from coaches/parents; organize team and sponsor photo sets.
  • Write clear, age-appropriate captions and announcements; highlight player/coach stories and community news.
  • Monitor comments/DMs; route questions to the right board member (registrar, scheduler, coaches).
  • Coordinate web updates for key items (dates, agendas, minutes, policies) with the website admin to post them.
  • Track basic metrics (reach, engagement, clicks) and provide short monthly/seasonal reports with recommendations.
  • Uphold brand voice, approved visuals, sponsor recognition guidelines, and league/association communications policies.
  • Support event coverage (gamedays, fundraisers) with live updates, quick scores, and photo/video highlights.
